Administrative or Educational Support Unit Mission Statement:
The Office of Institutional Research serves the University by providing information and analysis to support data based decision making in support of institutional effectiveness. The office of Institutional Research is responsible for state reporting, statistical data reporting, information analysis, data collection and other ad hoc reports.

Intended Administrative Objectives:

1. The Office of Institutional Research will increase the number of survey services provided to university departments for their assessment process.

2. The Office of Institutional Research will document when most of the requests are received, so that the reporting processes can be organized for better efficiency.

3. The Office of Institutional Research staff will strive to provide the best service possible.

Intended Administrative or Educational Support Objective:

1. The Office of Institutional Research will increase the number of survey services provided to university departments for their assessment process.

First Means of Assessment for Objective Identified Above:
1a. Means of Unit Assessment & Criteria for Success:
Many departments are currently conducting manual tallying of their office surveys. The goal is to convert these surveys into a format that can be scanned to expedite this process. The office goal is to provide survey services to at least four departments that were not using these services before.

1a. Summary of Assessment Data Collected:
A total of five departments have requested surveys or evaluation forms that can be scanned. The Office of Institutional Research created a total of nine scanable forms within the last year. The Center for the Advancement of Scholastic Achievement (CASA) requested three evaluation forms for their department.  The Writing Center requested two and the First Year Success Program requested one.  The Testing Center and Programs for Academic Support and Enrichment (PASE) Computer Services requested two surveys.  All of the above requests have been completed and a process is in place for the scanning and evaluation of these forms.  The TRIO (Student Support Services Grant) program requested a Technology Questionnaire to be used only once.  The questionnaire was printed and delivered for the administration.


1a. Use of Results to Improve Unit Services:
Creating, printing and defining each survey are time consuming procedures.  The office staff has continued to print and process existing surveys and new requests based on the current workload and the survey deadlines.  In addition, staff from the various departments using this service, have received training from the IR staff on processing the surveys.

Second Means of Assessment for Objective Identified Above:
1b. Means of Unit Assessment & Criteria for Success:
A question will be added to the 2004 Institutional Research Survey of Services Provided to rate the satisfaction with survey services.  Respondents will indicate a 70% combined response of ‘Satisfied’ and ‘Very Satisfied’.

1b. Summary of Assessment Data Collected:
Question #7 of the survey indicates that 92.3% of the respondents who requested survey services were “Satisfied” or “Very Satisfied” (Very Satisfied = 76.9% and Satisfied = 15.4%) with the services they received.

1b. Use of Results to Improve Unit Service:
The Institutional Research office, which consists of one staff member, continuously  strives to process the existing surveys and evaluations in a timely manner.

2a. Means of Unit Assessment & Criteria for Success:
A detailed log of programs and processes created or executed through out the year will be kept to determine the number of requests from university departments.

2a. Summary of Assessment Data Collected:
Although a log was created to keep track of requests, due to the demanding workload not all requests and processes were captured.  Nevertheless, the majority of these requests were entered in the log and the office documented 307 requests or processes from September 2003 to July 2004.  Of these requests only 28% were directly related to Institutional Research.  The largest requests not related to Institutional Research were from the Office of Programs for Academic Support and Enrichment with 36.8% of the total requests.  Student Services placed 38 requests for 12.4% and the Title V grant had 10.4% of the total requests. 

The log shows that the busiest month of the year for requests is April with 49 requests,
followed by July with 44 and June with 39 requests.  The average requests per month based on the log count were 28.

2a. Use of Results to Improve Unit Services:
The Office of Institutional Research is currently staffed by one person; therefore, it was quite a challenge to try and fulfill these requests in a timely fashion.  Due to the large number of requests and in order to maintain efficiency, they were prioritized on a daily basis in order to meet immediate deadlines.  The office has established a procedure allowing for a minimum of five days to fulfill complicated and new requests.

3. The Office of Institutional Research staff will strive to provide the best service possible.

First Means of Assessment for Objective Identified Above:
3a. Means of Unit Assessment & Criteria for Success:
Question #9 from the 2004 Institutional Research Survey of Services Provided will show that 80% of the respondents will rate the staff’s helpfulness as ‘Excellent’ or ‘Very Good’.

3a. Summary of Assessment Data Collected:
Based on the survey results, Question # 9 indicates that of those that responded to the question, 96% indicate that the staff’s helpfulness when requesting service was “Excellent” or “Very Good”.  (Excellent= 87.5% and Very Good = 8.3%).

3a. Use of Results to Improve Unit Services:
The Office of Institutional Research met and surpassed its target by 16% and exceeded last year’s response by 14%.  The office continues to make every effort to maintain this level of helpfulness.

Second Means of Assessment for Objective Identified Above:
3b. Means of Unit Assessment & Criteria for Success
Question #12 from the 2004 Institutional Research Survey of Services Provided will indicate that 85% of the respondents will rate the office staff overall as ‘Excellent’ or ‘Very Good’.

3b. Summary of Assessment Data Collected:
Question # 12 shows that 100% of the respondents felt that the staff overall was either “Excellent” or “Very Good” (Excellent=75%, Very Good = 25%).    This is 16% better than last year’s results.

3b. Use of Results to Improve Unit Service:
The Institutional Research office met and surpassed the targeted 85% by 15%.  The office staff continues to maintain its current level of service.
