GRANT WRITING RESOURCES

How the grant application process works at TAMIU:

1.  Contact ORSP staff to notify of your interest in a funding opportunity
2.  ORSP staff will review grant guidelines with you to determine all the required documents for submission.
3.  ORSP staff will email you a work schedule for the development of your grant proposal to ensure a timely submission.
4.  Submit required grant application documents at least 10 days prior to the application submission deadline to ORSP which include: 

  • abstract of the proposal
  • project narrative (draft copy is OK, doesn't need to be the final version)
  • budget and budget justification 

5.  ORSP will provide guidance and assistance through the approvals process.

NOTE:  Preliminary application documents (narrative, budget, abstract, CVs, etc) need to be submitted to ORSP at least 10 days prior to the application deadline to allow sufficient time for budget review and approval, and to acquire any other pending approvals from department chair, dean and/or Provost. 
ORSP staff can not ensure a successful grant submission if grants documents are NOT submitted to ORSP at least 10 days prior to the application deadline.

4.  APPROVALS AND SUBMISSION


ORSP staff will provide guidance and assistance through the approvals process.

Approvals may include any of the following: 

  • office space and equipment form
  • cost-sharing form
  • budget review and approval by the Office of Grants and Contracts
  • budget review and approval by the Office of Human Resources
  • approval from your Department Chair/Head, College Dean, and/or Provost
  • MAESTRO routing

Once all required approvals are in place, the ORSP will submit your grant application.

What happens after your grant proposal is submitted?

1.  ORSP will email you all the final documents and a copy of the complete application package submitted to the funding agency.
2.  ORSP will forward any submission confirmation emails and related correspondence.
3.  You wait.... and wait, and wait some more to find out if you received funding.
4.  If you are notified that your grant proposal was awarded, proceed to STEP 5: AWARD AND PROJECT SETUP.
5.  If you are notified that you were not selected for funding, contact funding agency to get the reviewer comments. Contact ORSP for guidance and process to revise and resubmit your grant proposal.

CONGRATULATIONS ON YOUR AWARD!

After receiving the good news and award document from the agency, the Office of Grants and Contract will contact you to setup a Post-Award meeting.

6.  MANAGE PROJECT

 Once you have had your Post-Award meeting and your account has been set-up, it's time to get your grant going.

Managing your grant award is a group effort, but the primary responsibility rests with the PI. 
As PI,  some of your primary responsibilities may include:

  • The scientific integrity and management of the project's scope of work
  • The financial management of project funds
  • Adherence to all University and funding agency policies, technical reporting and record keeping requirements and terms and conditions of the award.

7.  closeout project

The closeout of a project is the process when all applicable administrative actions and all scientific work on the award have been completed.
The closeout also entails that all final deliverables (e.g. technical report) have been submitted and accepted by the sponsor.

TAMIU has the responsibility to closeout all sponsored projects and to submit any final technical and financial reports in a manner consistent with the terms and conditions of the award.

The necessary closing procedures may vary, depending on the policies of the sponsor, whether the support was in the form of a grant, cooperative agreement or contract and the specific terms and conditions of the award.

It is the responsibility of the PI to check the award document for all pertinent details about closeout procedures and dates.

Awards are considered completed when all work is finished or on the date on which the award expires or terminates.

If, at the end of the project period, the Principal Investigator has not secured a renewal, supplement or no-cost extension, closeout must be conducted.

Some sponsors may require that final reports be signed by an Authorized Official. In these cases, the report should be sent to the Office of Grants and Contracts for guidance and assistance.
