Standard Event Promo Checklist

Has Event Been:

  • Added to Trumba/University Calendar

  • Added to TAMIU Insider

  • Added to Trailblazer

  • Added to Campus Digital Signage

  • Is there an approved News Release Distributed to Media?

  • Has/Will the News Release been posted to Web with dedicated link for additional information?

  • Is there Social Media Campaign or posting strategy (Organic)?

  • Is there Social Media Campaign or posting strategy (Paid)

  • Media Advisory Advance and Invitation to Coverage by Media

  • Local TV/Radio Appearance Requested/Scheduled?

Event Cross Check

  • Security with UPD? Yes/No

  • Exterior Signage at Event Entry? Yes/No

  • Event Photography/Videography Permitted? Yes/No

  • Is Guest Available for Interview by Press? Yes/No

  • Is there an approved News Release Distributed to Media?

  • Has/Will the News Release been posted to Web with dedicated link for additional information?

  • Is there Social Media Campaign or posting strategy (Organic)?

  • Is there Social Media Campaign or posting strategy (Paid)

  • Media Advisory Advance and Invitation to Coverage by Media

  • Local TV/Radio Appearance Requested/Scheduled?

Exterior Signage (Billboards)

  • Clear start and end dates, and vendor information must be shared with PRMIS

  • Billboard must feature clear and consistent TAMIU Branding, Approved by PRMIS

  • Billboard copy must be vetted by PRMIS and must feature a call to action/clear contact

  • Design must be reviewed by PRMIS and be consistent with PRMIS guidance focused on legibility, consistency with University messaging and absolute adherence to Brand Guidelines. It must meet the design specs for the billboard provided by the vendor

Digital Signage (Electronic On-Campus Signage)

  • Signage must feature clear and consistent TAMIU Branding, approved by PRMIS

  • Repurposed flyers or posters cannot be transferred to Digital Signage

  • Digital Signage copy must meet design and display time limitations

  • Digital Signage must present all relevant information concisely:

    • Event Name

    • Date

    • Time

    • Location

    • Cost

    • Contact

    • Target Audience

    • Website to learn more

  • Design must be reviewed by PRMIS and consistent with its guidance focused on legibility, consistency with University messaging, and absolute adherence to Brand Guidelines and digital accessibility standards.

  • Start and termination dates for digital signage must be provided at time of request.
